Edit or delete an expense

Mistakes happen: a slipped digit, the wrong category, an invoice entered twice. While the financial year is open, fixing them is simple.

Steps

  1. Open the expense from the Expenses list.
  2. Press the pencil to switch to edit mode.
  3. Change what you need: name, description, amount, category or date.
  4. To remove the expense entirely, use delete and confirm.

What happens next

  • Changing the amount adjusts the association's balance and the category's spending by the difference.
  • Changing the category moves the amount from the old category to the new one in the budget comparison.
  • Deleting puts the money back in the balance, removes it from the category's spending and deletes the attached file.

Good to know

A closed financial year cannot be edited. If the expense belongs to a year that has already ended, it can no longer be edited or deleted: you will see a crossed-out pencil, and pressing it explains why. This is deliberate, and it is how accounts are kept everywhere: the figures owners were shown for that year must keep saying what they said.

To fix a mistake in a closed year, record a correcting entry in the current year. For example, if last year's cleaning bill was entered 50 too high, record an entry for those 50 in the current year and say what it corrects in the description ("Correction — cleaning invoice 2025 overstated"). The balance ends up right, and there is a visible trace of why.

Changing the date does not move the expense to another year. An expense stays in the financial year where it was recorded.

Common questions

I entered the same invoice twice. Delete one of them. If the year is already closed, record a correcting entry for the same amount in the current year.

I replaced the attachment — what happens to the old file?
The expense points to the new file from then on.
