A fee is a request for money addressed to one unit: the yearly contribution, a quarterly instalment, a one-off charge for a repair. Issuing fees is how the association's income becomes visible and trackable.
Steps
- Open Funds and start a new fee.
- Select the units the fee applies to. You can tick several, or all of them.
- Enter the amount each unit must pay.
- Give it a name owners will recognise ("Annual contribution 2026", "Roof repair — 1st instalment") and, if useful, a description.
- Save.
What happens next
- flatnumber creates one fee per selected unit, all with the same amount. They are independent from then on: each has its own pending balance and its own payments.
- Each owner sees the fee under their unit, and their My balance adds up everything they still owe.
- Owners are told by email, according to their notification settings.
- The association's balance does not change yet. It changes when you record a payment.
Good to know
The amount is per unit, and you type it yourself. flatnumber does not split a budget between units for you. If units pay different amounts — by size or by share — issue the fee in groups: first the units that pay one amount, then the units that pay another.
A fee has no due date, only a pending balance. Put the deadline in the name or description if you need one ("due 31 March").
A fee belongs to the financial year in which you issue it, but an unpaid fee does not disappear when the year ends. The debt carries on until it is paid or written off.
Common questions
I issued a fee with the wrong amount. If nobody has paid it yet, delete it and issue it again. If payments have been recorded, read Write off or delete a fee first — deleting a fee deletes its payments too.
Can two owners share one fee?
The fee belongs to the unit. If the unit has co-owners, they all see it.
How do owners pay?
Outside flatnumber — by bank transfer, cash, or however your association collects. You then record the payment against the fee.
