People come and go: flats are sold, administrators hand over. flatnumber never deletes a member, because their fees and payments are part of the association's accounts. Instead, you change their status.
Steps
- Open the association settings and go to the members table. Each row is one membership: a person in one role.
- In the actions column choose:
- Suspend — to pause access temporarily.
- Cancel membership — when the person has left for good.
- Activate — to bring back someone suspended or cancelled.
- Confirm.
Cancelling an owner who still owes money
If the owner has fees with a pending balance, flatnumber shows them to you before finishing. For each fee you choose:
- Mark as uncollectible — you do not expect to recover it.
- Assign to remaining owner/s — the unit's other active owners take it on. Useful for co-owners.
- Leave it as it is — the fee stays in the departing owner's name. This is what happens if you choose nothing.
Then confirm the cancellation.
What happens next
- Access changes immediately. A suspended or cancelled member can no longer open the association, stops receiving its emails and meeting invitations, and no longer counts in its figures.
- They get an email explaining what has changed — that they no longer have the unit, whether they have lost access to the association altogether, and that their flatnumber account itself remains theirs.
- Nothing is erased. Past fees, payments and tickets keep their name.
- It is reversible. Activate restores the membership exactly as it was.
Good to know
You cannot suspend or cancel the last active administrator. The buttons are hidden on that row. Add another administrator first.
Roles are handled one at a time. Someone who is both an owner and an administrator has two rows. Cancelling one leaves the other untouched.
When a flat is sold: cancel the seller, settle or reassign their pending fees, then add the buyer as a new owner of the same unit.
Common questions
Should I suspend or cancel?
Suspend when you expect the person back or a situation is being sorted out. Cancel when they have left. Both can be reversed.
The new owner should not see the previous owner's debts. Fees left in the previous owner's name stay with them. Only fees you assign to the remaining owners move across.
